Privacy Policy

1. Who we are

This privacy policy explains how Inflatable Structures Limited collects and uses personal information when you use our websites, contact us or buy from us. It covers inflatable-structures.co.uk, axionuk.co.uk and nixus-uk.co.uk. Axion UK and Nixus UK are trading names of Inflatable Structures Limited.

Inflatable Structures Limited is the data controller for the information described here. We are a company registered in England and Wales (company number 10377424) with our registered office at 80 Compair Crescent, Ipswich, Suffolk IP2 0EH, and our trading address is 103 High Street, Needham Market, Suffolk IP6 8DQ. We are registered with the Information Commissioner’s Office under number ZC269039.

If you have any questions about this policy or about how we handle your information, email us at sales@inflatable-structures.co.uk with “Data protection” in the subject line, phone us on 020 7183 7842, or write to us at the address above.

2. What information we collect

When you contact us. If you fill in an enquiry or quotation form on one of our websites, email us or phone us, we collect the details you give us: your name, organisation, email address, phone number, country, and whatever you tell us about what you need. Our website forms store a copy of your submission on the website and send a copy to our enquiry inbox.

When you buy from us. If you become a customer we hold your contact details, delivery address, order and quotation history, correspondence, and invoicing and payment records. We do not store card details; payments are taken by credit card through our payment provider, or by bank transfer.

When you sign up for news. Each of our brands, Inflatable Structures, Axion UK and Nixus UK, sends an email newsletter with product news, case studies and offers. If you sign up on one of our websites, at an event or by asking us, we keep your name, email address, organisation if you give it, which newsletters you have chosen, and a record of when and where you signed up. You will only receive the newsletter you signed up for unless you ask to receive the others; because all three brands belong to the same company, we may occasionally tell you about a product from another of our brands where it is relevant to your enquiry.

When you visit our websites. Our websites use cookies and similar tools, described in section 4, that may collect your IP address, the pages you visit, how you reached the site, and the device and browser you use. Our security software also records the IP address of every request to the site so that we can detect and block attacks.

From other sources. We sometimes receive your business contact details from a procurement platform (such as Unite or Find a Tender), from a trade show, or from a colleague who has asked us to contact you.

We do not knowingly collect information from anyone under 18, and we do not collect any special category information (such as health or ethnicity) through our websites.

3. How we use your information

We use your information for the following purposes, and the law requires us to have a reason (a lawful basis) for each.

Where we rely on legitimate interests we have considered whether our use of your information is what you would reasonably expect and whether it could cause you harm. Our customers and enquirers are almost always businesses and public bodies contacting us in a professional capacity, and we use their details only to respond to and follow up that contact.

You can opt out of marketing emails at any time by clicking the unsubscribe link in any email or by contacting us. We will never sell your information.

4. Cookies and analytics

Our websites use cookies: small files placed on your device. When you first visit, a banner asks whether you accept them. Essential cookies that make the site work (for example remembering your cookie choice) are always on. The others are off until you accept them, and you can change your choice at any time using the cookie settings link at the bottom of every page.

Where you have not accepted analytics or advertising cookies, Google’s tools may still receive a limited signal that a page was viewed, without cookies and without identifying you, which Google uses to estimate overall totals.

Google’s own privacy policy explains how it handles this information: policies.google.com/privacy. You can also opt out of Google Analytics across all websites using Google’s browser add-on.

5. Who we share your information with

We do not sell or rent your information. We share it only with the suppliers we use to run the business, who are allowed to use it solely to provide their service to us:

  • Our website and IT support provider, who maintains the websites on which form submissions are stored
  • Our email and newsletter providers, which handle email sent from and to our websites and send our newsletters on our behalf
  • Google, for website analytics and advertising measurement as described in section 4
  • Our accountants, bank and payment provider, for invoicing and payment
  • Couriers and hauliers, who receive your name, delivery address and phone number so they can deliver your order
  • The manufacturers whose products we supply, where an order or warranty claim requires it

We will also share information if the law requires it, for example with HMRC, or to enforce our terms and conditions.

6. How long we keep your information

We keep your information only as long as we need it for the purposes above. We review our records at least once a year and delete or anonymise anything that has passed the periods below, so information may be held for up to twelve months beyond them before the next review removes it.

InformationHow long we keep it
An enquiry or quotation that did not lead to an orderFive years from our last contact with you. Many of the structures we quote for are large projects that move from an initial idea through budgeting and tendering before an order is placed, and it is common for a customer to come back to us two or three years after first getting in touch
Customer records: orders, invoices, correspondenceSix years after your last order, which is the period required for tax purposes and for contract claims
Copies of form submissions stored on our websitesTwelve months, after which they are deleted from the website; the enquiry itself is kept in our email and customer records as above
Newsletter and marketing lists (all three brands)Until you unsubscribe or ask us to remove you
Website security logsThirty days on our websites; our hosting provider keeps its own server logs for a short period for security purposes

If you ask us to delete your information before the end of these periods we will do so unless we need to keep it to meet a legal obligation or to deal with a dispute.

7. Your rights

Under UK data protection law you have the right to ask us for a copy of the information we hold about you; to ask us to correct it if it is wrong; to ask us to delete it; to ask us to stop or limit how we use it; to object to our use of it where we rely on legitimate interests, including for direct marketing; and to withdraw consent at any time where we rely on it.

To exercise any of these rights, contact us using the details in section 1. We will respond within one month and will not charge you unless a request is clearly unfounded or excessive. We may ask you to confirm your identity before we act.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can complain to us by email at sales@inflatable-structures.co.uk with “Data protection complaint” in the subject line, or by post to the address in section 1. We will acknowledge your complaint within 30 days, look into it and tell you the outcome without undue delay. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

8. Security, international transfers and changes

We protect your information with access controls on our systems, security software on our websites, and by limiting who in the business can see it. No system is completely secure, so if we ever discover a breach that puts you at risk we will tell you and the Information Commissioner’s Office as the law requires.

Some of our suppliers process information outside the United Kingdom. This includes Google and our email providers, and the manufacturers whose products we supply, who receive customer names and delivery details when an order is placed directly with them or a warranty claim is made. Where a supplier is in a country the UK government has found to give adequate protection, no further safeguard is needed. Where it is not, we put in place the International Data Transfer Agreement or addendum approved by the Information Commissioner’s Office, so your information has equivalent protection wherever it is held.

We may update this policy from time to time. The date below shows when it was last changed, and we will highlight any significant change on our websites.
